Record cash, EFT, card machine, SnapScan or Zapper payments in seconds. Every payment gets a receipt number and the member gets a receipt by email. Part payments show what is still owing. Mistakes are voided with a reason, never deleted.
A member portal
Members log in with their member number and a PIN to see "Member until…", their payments and receipts, and their tournament entries. No app or account for them to set up.
Check-in at the door
Type a name and see straight away: member, pass holder or guest. Guests pay for a come-and-try visit, and you can limit how many times they come before they must join. A helper can use a door screen with a PIN instead of an account.
Online payments with Yoco
Connect your club's own Yoco account and members renew by card in the portal. The money goes straight to your club, the membership starts the day after the current one ends, and the payment is recorded and receipted automatically.
Tournament entry fees
Link your club to a tournament or series from our free tournament manager: members play free, at a discount or at a member price, checked against their membership on the day. Players can enter and pay online, with a waiting list when it is full.
Reminders and reports
Members get an email a week before their membership ends. Reports show who is ending this month, who has lapsed, who owes money, income by month and attendance. Download members and payments to Excel at any time.
Several helpers
Give your committee their own logins as administrator, treasurer or check-in helper. Each sees only what they need, and every payment change is logged.
How it works
- Create your club. A free account and your club's name is all you need. You get a few common plans to start with.
- Set your plans and prices. For example "Adult monthly R250", "Junior annual R1 200" or "Winter league R600 for the season".
- Add your members. One by one, or import your list from Excel (saved as a CSV file). Each member gets a member number, like SNS-0042, which is also their player ID in tournaments and series rankings.
- Record what they pay. Or let them pay by card in the member portal. Their status updates by itself: active, expiring soon, lapsed or owing.
- Check people in and run your events. Club nights, come-and-try evenings and tournaments with member discounts all use the same membership list.

Questions
Do our members need to create an account?
No. Only the people who run the club need a (free) account. Members log in to the member portal with their member number and a PIN, which the club gives them or they choose from an emailed link.
Does it work for our sport?
Yes. Memberships work the same for any sport: table tennis, squash, tennis, padel, netball, bowls, darts, running, gyms and more. If you also run tournaments, our scoring apps and tournament manager cover 21 sports.
We don't use Yoco. Can we still use it?
Yes. Record cash, EFT, card machine, SnapScan or Zapper payments yourself. Your banking details appear in the member portal, with the member number as the payment reference. Online card payments are optional.
Who owns our members' information?
Your club does. We keep it safe and use it only to run your club's system, as our privacy policy explains. You can download your members and payments at any time, and delete members or the whole club.
Can we manage juniors?
Yes. Add a parent or guardian's name, phone and email to a junior member, and use a birth year for junior plans if you want. Family plans cover several people under one membership.
What happens when a membership ends?
The member gets an email a week before. On the day after it ends, they show as lapsed (or in a grace period, if you set one). If they renew early, the new period starts the day after the current one ends, so nobody loses days.
What if we grow past 15 members?
Everything keeps working; you just can't add more members until the club owner buys the Club upgrade. Members who left can be archived so they don't count.
